Set out below is the final information you require for the Surrey Championships this weekend much of which has been prepared by the Surrey Championship Organising Team.

Venue:  Surrey Sports Park, Richard Meyjes Rd, Guildford GU2 7AD

Coaches:  Ross Douglas and Sadie Flynn

Team Managers:  Saturday, Session 5 - Ceri Eastwood | Session 6 - Danielle Bonner
Saturday, Session 7 - Ceri Eastwood | Session 8 Danielle Bonner

Surrey are very short of Field of Play volunteers for all sessions so please follow this link and support your swimmers.

Surrey are also very short of Officials.  Please follow this
link to volunteer.  Session 7 does not meet the minimum Level 1 licensing requirements at the moment.  If this doesn’t change, this session will be licensed at Level 3. Times would then not be eligible for entry into national competitions.

Field of Play volunteers will also need to submit their poolside pass request by completing the form at this link.

Schedule of Events:  Click here if you wish to remind yourselves where your swimmers events fall across each day.

Key Times Report:  Click here for the latest version of the Key Times Report for Week 1 and 2 of the Championships which sets out sign in deadlines,,warm up times, start times and estimated finish times.

Warm up Schedule:  Pleae click here for Week 2 Warm Up Schedule.

Event Manual:  Please click here for the Event Manual.  This is primarily for Volunteers and Officials but it does contain some useful information for all attendees.  We would recommend you read through the general sections before you attend the meet.

Mobile Results:  Again, Surrey will not be using Meet Mobile for Week 2 of the Championships.  They are making an alternative mobile app available.  It will be free to use for this meet.  The link is available on the website and here.  There will also be QR codes available on the day but we would recommend you download the app before leaving home to avoid any frustrations with the SSP wifi.

Click here for the QR code that Surrey have published to access the results.

The Swim Results mobile app has been improved since week 1.  Please continue to send your feedback through the app.  The status of events will now be shown.  Results will be shown as unofficial until the referees have confirmed the result to the recorder and the results scored in HyTek.   At this point the app will show official results and the printed copies will be posted to the emergency exit doors at the turn end of the pool for coaches and swimmers and on the wall in the corridor opposite the sign in tables for spectators.  If you are in any doubt, please speak to the Control Room Supervisor in the Timing Suite who will be able to advise.  We will be posting on the scoreboard as many changes as possible but the scoreboard will always be showing unofficial results.

Long Distance Waitlist:  Surrey are running a waitlist for Long Distance events for any swimmer who is rejected from the 2026 events and wants to swim.  They will use a separate Telegram channel to publish any withdrawals and invites to swim.

The waitlist can be found at this link.  The allocation to replace withdrawn swimmers will be by time from the Age Group of the withdrawn swimmer.  After all swimmers in an age group have been allocated, the next withdrawal in the same age group will be allocated to the swimmer with the fastest time irespective of Age Group.  In all cases the seed time, not the entry time, will be used.

Please use the QR code below to access the Long Distance Waitlist Telegram channel.  This is designed for parents, swimmers and coaches alike.

Medal Presentation Reporting Times for Week 2:  [***TO FOLLOW***]

Sign In:  Please note Surrey operate a sign in procedure.  Swimmers must sign in before the start of the warm-up for each session for every event in which they wish to take part.   Swimmers who fail to sign in or are late to sign in will not be permitted to swim.

Car Parking:

Please use the nursery car park at the bottom of the hill to SSP.  Do not park in the upper car park or the overflow as this is for members only.  You are also reminded not to park on the grass verges.  All the cameras will be operating on the main car park.   N.B.  The University is now charging for parking.  Please use the lower car parks by the Nursery, which will be signposted for you, and walk up the hill.  There will be a £2 per day charge which you can pay using the Ringo parking app.

Spectators:

Surrey will be hosting swimmers and coaches on poolside in 2026 as we did in 2025 and therefore the number of seats available to spectators will be limited to the area by the entrance door.  All the seats along the window will be allocated to swimmers and coaches to improve the environment for them.

There will be no charge for spectators, but you should vacate a seat once you no longer need it.  The seating will be on a first come first served basis.  There will be a barrier at the window seating beyond which you will need a poolside pass to access or be a swimmer!

During week 1 a number of parents were saving seats during the day and swimmers were sitting with their parents.  Surrey do not condone this behaviour.  No swimmers will be permitted to sit in the spectator area.  If parents want to speak to their swimmer, they should move to the corridor or the upstairs gallery.  Please do not save seats and please leave the spectator area when your swimmer has finished their races.  The number of seats is very limited and we would encourage parents to volunteer in a field of play role.  If officials and volunteers are verbally attacked this weekend, we will clear the spectator area completely.

Official Photographer:

We will be using an official photographer again this year, Simon Roe.  He will post the photos taken to his website from which purchases can be made.  You can access the gallery of photographs through this link.  Surrey will be presenting medals this year in accordance with the medals presentation schedule that will be published in the meet documents.  Simon will be taking an official photograph of all the medallists and will be make these photographs available for download from his website.  Surrey County ASA will cover the cost of the medal photographs.

Awards:

Surrey have amended the timeline to make space for a formal presentation of medals.  The Surrey official photographer will take the formal photgraphs to speed up the process.  Coaches are asked not to try and do the same.

Medallists must report to marshalling at the time shown on the Medal Presentation Reporting Times and coaches should ensure they do this.  We will not be holding presentations to wait for a swimmer.  All medals not presented will be available for collection at the medals desk.

Communications:

Surrey are trialling a Telegram communication channel at the meet this year.  This is aimed at Coaches and Team Managers but all are welcome to join.  It will be a one way channel to enable the events team to send out messages to help in the running of the meet.  Anyone wishing to take part should download Telegram onto their phones or tablets and use the following QR code to access the channel.

That's all for the moment.  If I get any further updates, I will let you know.

Good luck everyone!
