What personal information does Greenwich Royals Swimming Club collect about you?

Greenwich Royals Swimming Club collects and processes - through the Team Unify platform and through emails -  where necessary, the following personal information about swimmers and their parents / guardians:

Swimmers name, date of birth, gender, GP name and contact details, medical information (if relevant and with parental consent), information about club membership, ability group, attendance history, competition results, contact, and any additional comments, notes or information about a swimmer submitted by the account holder (who is usually the parent).

Parent / legal guardian name, date of birth, and contact details, including address, email and phone number.

Billing information and payment details, such as debit card and purchase history

Photos taken at meets and social events in line with our photography code of conduct

Swimmer meet results.

Swim England registration data for swimmers and the club workforce.

Background and criminal record checks results for club workforce, with consent.

 

How does Greenwich Royals Swimming Club use swimmer and parent/legal guardian personal information?

Greenwich Royals Swimming Club uses this information for the following purposes:

To operate the club and allow swimmers and their parents / guardians to easily register for and attend swim meets, access swim time histories and swimming training attendance, for event management, communication, billing and collection of fees, and other services they request.

For internal club record keeping.

To comply with national and regional sports bodies’ (e.g., Swim England) registration and membership requirements.

 

Does Greenwich Royals Swimming Club share your personal information with third parties?

Greenwich Royals Swimming Club will not share personal information without consent, except:

Where it is necessary to share with a service provider, such as TeamUnify or SportsEngine (TeamUnify’s parent company), to provide members, their parents, and coaches with services they have requested e.g, to register for and attend swim meets, access swim time histories, event management; communication; billing and collection of fees; and other services they request.

Where Greenwich Royals Swimming Club has a legal obligation to disclose the information (such as responding to a court order), to protect Greenwich Royals Swimming Club’s legal rights or to prevent fraud or illegal activity.

 

Best Practice (to be adhered to by all Greenwich Royals Swimming Club committee members, coaches, teachers and other members with positions of responsibility)

Email communications should be sent with recipients' details blind copied (bcc’d) so that their email addresses are not shared with the wider group. Wherever possible, emails should be sent through the TeamUnify platform or from one of the club's main e-mail accounts.
