Safeguarding Protocol and Due Process

 

 

Overview

Leatherhead Swimming Club is committed to safeguarding the welfare of all swimmers. The club fully adheres to Swim England’s Wavepower Safeguarding Policy. This protocol outlines clear roles, responsibilities and procedures for responding to welfare concerns in line with best practice and legal requirements.

 

Roles and Responsibilities

Welfare Officer

    •    Acts as the designated safeguarding lead for the club

    •    Conducts initial assessments of all safeguarding concerns

    •    Determines appropriate action, including escalation where required

    •    Maintains confidentiality and secure records

    •    Acts as the main point of contact for safeguarding matters

    •    Holds appropriate safeguarding training as required by Wavepower

 

Coaches and Swim Teachers

    •    Create a safe, positive and supportive environment

    •    Remain vigilant to signs of distress or concern

    •    Listen to swimmers and provide reassurance

    •    Do not investigate or assess concerns

    •    Refer all concerns immediately to the Welfare Officer

    •    Maintain confidentiality at all times

 

Process for Handling Welfare Concerns


    1.    Initial Assessment

 

  • All concerns are referred to the Welfare Officer
  • Immediate action is taken if a child may be at risk

 

    2.    Informal Resolution (Minor Concerns)

 

  • Managed locally where appropriate
  • Actions documented and monitored

   

 3.    Formal Reporting (Serious Concerns)

 

  • Escalation in line with Wavepower procedures
  • Referral to Swim England or statutory authorities where required

    

4.    Multi-Agency Coordination

 

  • Welfare Officer liaises with relevant external agencies as necessary

 

Photography, Video & Mobile Phone Use

 

Safeguarding Notice

 

To protect all swimmers, Leatherhead Swimming Club follows Swim England’s Wavepower policy.

 

Rules

    •    No photography or filming during training unless authorised by the club

    •    Photography at events only in public areas and must be respectful

    •    No mobile phones, smart watches or recording devices in changing rooms, toilets or showers

    •    Applies to everyone – adults and children

Disclosure Handling

  • Listen carefully and reassure the swimmer
  • Do not ask leading or detailed questions
  • Report immediately to the Welfare Officer

 

Confidentiality, Records and Training

  • All matters handled confidentially and recorded securely
  • Mandatory safeguarding training required for all relevant roles
  • Welfare Officer training kept up to date
